Top Questions & considerations for a Photo Booth Rental
First off, is it a photo booth or a photobooth? Just kidding, either way, people love having photo booths at events for many reasons. It could be for the fun and enjoyment they bring, it could be for the “favors” and memories they create or it could be the experience they provide.
If you're planning your wedding reception, it is more than likely, you have never rented a photo booth before. It’s a totally new shopping experience in many senses. Weddings tend to be a first for many purchases in life: photo booths, DJ’s, florals, catering, etc. These are not routine purchases we’re all accustomed to like clothing, food, or a car, right?
Now, you’ve likely been to events that have photo booths. Your friends and family are telling you, “you need to have a photo booth!”
Some things to think about when renting a photo booth for your upcoming event:
Is the photo booth just something to check a box on for event entertainment? To say, “yeah, we had a photo booth at our wedding?” Or, perhaps, you see the photo booth as an experience for your guests to enjoy.
Have you been to weddings or corporate events where there was a photo booth? If so, what did you like about it? Was it the style of the booth? The output? Did the photo booth make a statement?
Would the right photo booth rental meet your vision for the vibe for the event? Will the type of equipment enhance or possibly detract from the vision you have for your event?
There are all types and styles of photo booths in today’s market from open-air, enclosed booths, vintage booths, 360, roaming, selfie stations, and more. What style best fits your vision and vibe for your event? What customization options are available?
Most, but not all photo booths offer print packages. This may vary depending on the provider and the equipment they use. DSLR cameras produce the best picture quality and tend to include printing. iPad based photo booths generally offer lower quality images which do not print as well. Enhancements to photo booths can also include digital delivery via Text or Email, online galleries of photos, props, choices of artwork, and backdrops. Find out what is included in the package options you are interested in pursuing.
Depending on the style of photo booth you are interested in, spacing needs vary. An open air photo booth might need a space of 8x8. A 360 booth generally requires a 12x12 area to operate safely. Explore the options each specific type of equipment may need. Then there is the issue of height. Generally, photo booth backdrops are between 7.5 and 8 feet tall.
In itself, this can alleviate some concerns in terms of the space requirement question above. If the photo booth rental company has worked at your venue before, they will be familiar with both photo booth placement and spacing. They will also likely have a strong knowledge of your venue’s vendor rules and requirements. This, in itself, reduces some headaches.
This has been an increasingly important issue in recent years and goes beyond photo booth rentals. Many, if not most venues are requiring all vendors working on the property to provide a copy of their Certificate of Liability (COI). The venue may also have some specific requirements of the vendor in terms of liability limits and the naming of the insured. Additionally, vendors may be required to sign and complete a form with the venue agreeing to certain rules and requirements in terms of setup, run times, delivery, etc. Make sure the providers you are looking at have the required COI insurance and will complete all necessary paperwork with the venue.
The last thing you would want is to have a vendor rolling in to set up their equipment in the middle of the toast, blessing or speeches, because the photo booth run time is 7-10PM. Most venues are open to set up for large windows during the day of an event. Again, the photo booth company’s familiarity with the venue will reduce this potential concern. Remember to ask: if hired, when will they be able to set up?
Distance does matter. You may easily be able to determine this on your own in your research. If you are getting married in Hershey, PA, does it make sense to hire a vendor that needs to drive three hours to your venue? Some things may be out of their control in the travel to your venue and could impact their service levels — weather issues or an accident on the highway could impede the ability to be on time. What if they forgot an essential piece of equipment, like the photo booth printer? If you cannot determine the photo booth’s business location, make sure to ask how far they need to travel to your venue.
